Admissions and Outreach Coordinator (4-day work week)
POSITION SUMMARY The Admissions & Outreach Coordinator serves as the first point of contact for women seeking services through Doors of Hope. This position plays a vital role in providing compassionate, trauma-informed support to prospective residents, their families, referral partners, and community agencies throughout the admissions process.
Using lived recovery experience, professional knowledge, and a heart for service, the Admissions & Outreach Peer Recovery Specialist builds trust, provides hope, assists women in navigating treatment options, and helps remove barriers to entering care. This position coordinates admissions, conducts screenings, collaborates with referral sources, and strengthens relationships with hospitals, treatment providers, courts, community organizations, and other referral partners throughout Middle Tennessee.

Reports to: Director of OperationsESSENTIAL DUTIES AND RESPONSIBILITIES:
Admissions Coordination
- Serve as the primary contact for all incoming admissions inquiries by phone, email, website, and referral sources.
- Respond promptly to all admission inquiries, returning missed calls as quickly as possible, preferably within one business hour.
- Conduct compassionate pre-screening interviews to determine eligibility and appropriateness for Doors of Hope's residential recovery program.
- Build rapport with prospective residents and their families through empathy, active listening, and trauma-informed communication.
- Explain program expectations, eligibility requirements, admission criteria, and next steps.
- Coordinate intake appointments and admissions with the clinical and program teams.
- Collect required documentation, releases of information, medical records, and referral information necessary for admission decisions.
- Maintain accurate documentation in the electronic health record and other agency databases in accordance with agency policy, HIPAA, 42 CFR Part 2, Tennessee Department of Mental Health and Substance Abuse Services (TDMHSAS) requirements, and CARF standards.
- Collaborate with clinical leadership regarding admissions decisions, medical clearance, and placement recommendations.
- Assist with transportation coordination when appropriate to reduce barriers to treatment.
- Utilize lived recovery experience to inspire hope and encourage women entering recovery.
- Model healthy coping skills, recovery principles, accountability, and resilience.
- Provide emotional support throughout the admissions process while maintaining appropriate professional boundaries.
- Connect prospective residents with community resources when appropriate.
- Advocate for individuals seeking treatment and assist them in navigating barriers to care.
- Obtain and maintain Certified Peer Recovery Specialist (CPRS) certification within one year of employment if not already certified.
- Build and maintain strong relationships with referral partners including:

- Identify opportunities to strengthen community partnerships and increase awareness of Doors of Hope's mission.
- Maintain comprehensive knowledge of community resources and referral partners to effectively connect applicants with appropriate services when they are not eligible for or are not the best fit for the program.
- Work closely with program leadership, case management, clinical staff, and administrative staff to ensure smooth admissions and transitions into care.
- Participate in treatment team meetings, admissions meetings, staff meetings, and agency trainings.
